Administrative Assistant

Full-Time 1.0 FTE (37.5 hours/week)

Salary Range: $26.00 per hour to 33.07 per hour

Edmonton O-day’min Primary Care Network has an exciting permanent full-time opportunity for an Administrative Assistant.

Reporting to the Director, Clinical Operations or designate, the Administrative Assistant is responsible for assisting the management team with administrative support to support effective and efficient organization processes. The position is responsible for the day-to-day clerical and administrative support to optimize workflow and administrative procedures in the central office.

The Administrative Assistant will support colleagues and managers with planning and communication to internal teams and external stakeholders. As a key point of reference for administrative queries, requests, or issues, the successful candidate will be an integral part of the support team.   

KEY RESPONSIBILITIES & DUTIES

  • Primarily supporting the Program Management team, the Administration Assistant also works collaboratively with the executive leadership team and executive assistant.
  • Provide coverage support for the Executive Assistant and other Admin Assistant when needed.
  • Manage daily/weekly/monthly agendas and calendars
  • Arrange new meetings and appointments for the assigned managers with internal and external stakeholders.
  • Prepare and disseminate correspondence.
  • Support committee work with administrative tasks
  • Organize meetings, prepare agendas, (and take minutes if required)
  • Maintain contact lists for internal teams and external partners.
  • Format reports and documents.
  • Inventory and Ordering for clinic and office supplies
  • Answer phone calls/emails and redirecting as appropriate.
  • Format and file policies and procedures.
  • Perform data entry, scanning and filing of documents.
  • Receive, and stock supplies.
  • Assist with event planning

QUALIFICATIONS:

Minimum of 3 years administrative experience, preferably within a primary care or community setting. Please note that candidates for the above position must have:

  • Diploma or certificate in Administrative Professional, Business Administration, or related field, or equivalent progressive experience
  • Minimum of two years of administrative experience supporting senior leadership
  • Demonstrated ability to build and maintain relationships with stakeholders and community partners
  • Strong organizational skills and the ability to multi-task and optimize workflow
  • Excellent written and verbal communication skills
  • Demonstrates a high degree of integrity, professionalism, and a positive team attitude
  • A Criminal Record/Police Information Check with Vulnerable Sector check
